Privacy Policy

This Privacy Policy explains how Reliable IT (“rdash”, “we”, “us”) collects, uses, discloses, and protects personal information in connection with the rdash platform (the “Service”). We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Controller and processor roles

rdash is a multi-tenant platform used by organisations (“tenants”).

  • Tenant (operational) data: for personal information that a tenant and its users enter into the Service (e.g. tasks, assignees, contacts), the tenant is responsible for that information and we act as a service provider processing it on the tenant’s behalf and instructions.
  • Account and platform data: for information we collect to operate the platform (e.g. account records, billing, logs), we are responsible for that information.

2. Information we collect

  • Account information — name, email, role, and (for password sign-in) a securely hashed password.
  • Tenant operational data — tasks, notes, assets, reminders, schedules, and related records submitted by tenant users.
  • Usage and technical data — log data, IP address, browser/ device information, and audit records of actions taken in the Service.
  • Integration data — data exchanged with connected services you enable (e.g. Microsoft 365, Procore, an SMS gateway). Integration credentials are encrypted at rest.
  • Cookies/session — a secure session cookie used to keep you signed in. We do not use third-party advertising cookies.

3. How we use information

  • to provide, maintain, secure, and support the Service;
  • to authenticate users and enforce access controls and seat limits;
  • to send operational notifications (assignments, due/overdue reminders, escalations) and account emails such as password resets;
  • to deliver integrations you enable;
  • to maintain audit logs, detect and prevent fraud or misuse, and meet legal obligations; and
  • to improve the reliability and performance of the Service.

4. Disclosure and sub-processors

We do not sell personal information. We disclose information to service providers who help us run the Service, under appropriate confidentiality and security obligations, including:

  • cloud hosting and database infrastructure providers;
  • email and messaging providers you or we configure (e.g. Microsoft 365, an SMS gateway) to deliver notifications; and
  • services you explicitly connect as integrations (e.g. Microsoft 365, Procore).

We may also disclose information where required by law or to protect rights, safety, and the integrity of the Service.

5. Overseas disclosure

Some service providers may store or process data outside Australia. Where this occurs we take reasonable steps to ensure recipients handle personal information consistently with the APPs.

6. Data security

We implement technical and organisational measures appropriate to the risk, including encryption in transit, encryption of integration secrets at rest, role-based access controls, tenant isolation, hashed passwords, revocable sessions, and audit logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Data retention

We retain personal information for as long as needed to provide the Service and for legitimate business or legal purposes. Suspending a tenant does not delete its data; on termination, data may be deleted after a reasonable retention period unless retention is required by law or agreement.

8. Your rights

Subject to applicable law, you may request access to, or correction of, the personal information we hold about you. Where we process information on behalf of a tenant, please direct requests to that tenant’s administrator; we will assist the tenant as their service provider. 9. Children

The Service is intended for use by businesses and is not directed to individuals under 16. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be notified through the Service or by other reasonable means. The “Last updated” date above reflects the current version.
